Zoho Accounting Partner in India: What to Expect and What to Verify

A Zoho accounting partner configures and supports your books in Zoho. Your Chartered Accountant makes sure those books stand up to GST, income tax and audit. This guide shows how the two roles fit together, so nothing falls between them.

  • Written from the accountant's side of the table
  • Responsibility matrix you can hand to a vendor
  • Independent of any software vendor

What does a Zoho accounting partner do?

A Zoho accounting partner sets up Zoho Books or related Zoho finance apps for your business, moves opening balances across, configures GST and TDS, trains your team and supports you after go-live. The partner is not your Chartered Accountant. Your CA stays responsible for the accuracy of returns, tax positions and the audit trail.

Guide

Zoho accounting partner: the accountant's checklist

Four roles that are often confused

Businesses searching for a Zoho accounting partner usually mean one of four different providers, and the differences matter when something goes wrong.

  • Zoho partner: a company that has an agreement with Zoho to implement or resell its products. Zoho lists partners in its own directory, so you can verify the claim.
  • Reseller: primarily sells licences. Implementation may be thin or outsourced.
  • Software consultant: configures workflows and integrations, often without an accounting qualification.
  • Chartered Accountant: responsible for the books, returns and audit opinion, whichever software you use.

Many projects need two of these working together. Problems start when each side assumes the other is checking the accounting treatment.

What a sound accounting set-up contains

Whatever the partner calls its package, the finished organisation in Zoho should contain the following, and you should be able to see each item before you sign off.

  • A chart of accounts built for your reporting needs, not copied from a template for another industry
  • GST registration details for every state where you are registered, with place of supply rules tested on real transactions
  • TDS and TCS sections mapped to the nature of payments you actually make
  • Opening balances that agree to the last audited or closing trial balance, with a reconciliation you can read
  • Bank and payment gateway feeds with rules for recurring items
  • User roles and approval levels that match who really does what in your office
  • Standard reports saved for the partners or directors, not only for the accountant

The month-end close to insist on

A system can be live and still produce unreliable books. Ask the partner to help you adopt a short, repeatable close.

  1. Record or import every bank and card transaction and clear the uncategorised queue.
  2. Match vendor bills with purchase credits shown in the GST portal.
  3. Reconcile receivables and payables with ledgers kept by customers and suppliers for the largest balances.
  4. Post depreciation, prepaid and accrual entries from a fixed schedule.
  5. Review the trial balance for unusual movements, then lock the period.
  6. Hand the locked period to your CA for return filing and review.

Locking periods is a feature, not a formality. It is what lets your CA rely on the numbers filed last month.

Writing the scope of work

A one-page proposal is a warning sign. A usable scope names the following.

  • Modules and editions covered, and what is deliberately excluded
  • Entities, GSTINs and branches in scope
  • Data to be migrated, the period it covers and who validates it
  • Number of training sessions and who attends
  • Integrations, with the system and direction of data for each
  • Acceptance criteria written as tests, such as "trial balance agrees to closing balance"
  • Support period after go-live, response times and what counts as a change request
  • Who owns the organisation and admin login (it should be you)

Red flags worth walking away from

  • A fixed price offered before anyone has seen your data
  • No named person who will do the work
  • A promise that the software "files all your returns automatically" with no mention of review
  • The partner creating the account in its own name
  • No reference you can call, or only references from other industries
  • Reluctance to put the acceptance criteria in writing

How to verify a partner

Ask for the name under which the partnership is registered, then check Zoho's partner directory yourself rather than relying on a logo. Ask which consultant will lead your project and whether that person holds a current Zoho certification. Call two clients of similar size and ask what went wrong, not only what went well.

Process

From shortlist to a clean first month

    Define the outcome

Write down the reports, filings and approvals you need from the system.

  3. 3

    Agree the scope in writing

Use the list above and add acceptance tests.

  4. 4

    Run a pilot month

Process real transactions in parallel with your old method.

  5. 5

    Review with your CA

Close the first month together, then lock it.

FAQ

Questions about Zoho Accounting Partner in India

Who is the best Zoho accounting partner in India?

There is no single best partner. The right one has accountants on the project, has migrated businesses like yours and agrees to written acceptance tests. Compare two or three on those points rather than on price alone.

Is a Zoho accounting partner the same as a Zoho reseller?

No. A reseller mainly sells licences. A partner may implement and support the product as well. Ask which services will be done by the partner's own staff.

How do I check that a firm is really a Zoho partner?

Look for the firm in Zoho's partner directory and ask for its registered legal name. Ask who will lead your project and request proof of that person's certification.

How much does a Zoho accounting partner charge?

Fees depend on entities, GST registrations, data volume, integrations and training. Insist on a written scope with the price and a clear list of what is excluded.

Do I still need a Chartered Accountant if I use Zoho?

Yes. Software records transactions, but a Chartered Accountant is responsible for accounting treatment, return filing, tax planning and the audit.

Can the same CA firm handle my returns while a partner implements Zoho?

Yes. Many businesses keep their CA for compliance and use a software partner for configuration. Share access with the CA early so tax settings are reviewed before go-live.

How long does a set-up take?

A single-entity business with clean data can often be configured in a few weeks. Multiple GSTINs, inventory or integrations take longer. Ask for a dated plan.

What happens if I change partner later?

You should own the organisation and hold admin access. Then a new partner can take over from the documentation without migrating again.
