Who is a Zoho accountant?

A Zoho accountant is an accountant who maintains books in Zoho Books or reviews them as your outside advisor. You can hire a Zoho-skilled bookkeeper, outsource to an accounting firm that works in Zoho, or invite your existing Chartered Accountant into your organisation with limited access.

Guide

Working with Zoho accountants

Three ways people use the phrase

  • A bookkeeper who knows Zoho Books: enters or reviews daily transactions, reconciles banks and chases receivables.
  • An accounting firm that works in Zoho: runs the monthly process and filings for you, in your organisation.
  • Your own Chartered Accountant, invited in: reviews books and files returns without you exporting files each month.

Decide which one you need before you interview anybody. Most small businesses do best with a part-time bookkeeper or outsourced team for daily work and a Chartered Accountant for review and filing.

Skills to look for

  • Comfort with double-entry basics, not only data entry screens
  • Working knowledge of GST invoice types, input credit and reconciliation with the portal
  • TDS section awareness for common payments such as professional fees, contractors and rent
  • Bank reconciliation habits, including how to treat unmatched items
  • Familiarity with Zoho Books workflows such as bills, credit notes, recurring entries and period locks
  • Clear written communication: queries should arrive as a list, not scattered messages

A short practical test beats a long interview. Give a candidate a sample bank statement and ten transactions and ask them to record and explain them.

Giving access without giving away control

Invite people with the lowest role that lets them do the job. Your accountant normally needs to see transactions and reports and post entries, but may not need to change organisation settings or delete users.

  • Keep at least one admin who is an owner or director, and never share that login
  • Use separate invitations for each person so actions can be traced to a name
  • Remove access on the day someone leaves or a contract ends
  • Review the user list every quarter
  • Ask the accountant to record queries in comments on the transaction instead of in private chats

Roles and permissions differ between plans, so confirm what your plan offers before designing the access model.

A monthly routine accountants can follow

  1. Week 1: import bank statements, clear uncategorised items, record expenses.
  2. Week 2: reconcile receivables and payables, follow up overdue invoices.
  3. Week 3: prepare GST data, compare with portal figures and settle mismatches.
  4. Week 4: post adjustments, review the trial balance, lock the month and share reports.

Agree this calendar in writing. It converts "the accountant will look after it" into dated deliverables.

What drives the cost

Fees depend on transaction volume, number of GST registrations, banks, payroll and inventory, and how clean your source documents are. Ask for pricing by scope: daily bookkeeping, month-end close, GST return preparation and annual finalisation are different pieces of work and are often priced separately.

When to use an accounting firm instead of a hire

An in-house hire gives daily availability but depends on one person. A firm gives continuity, review layers and statutory knowledge across staff. Our accounting and bookkeeping service is the accountancy side; software choice remains yours.

FAQ

Questions about Zoho Accountants in India

What is a Zoho accountant?

It is an accountant who keeps or reviews books in Zoho Books. They may be in-house, an outsourced firm or your own Chartered Accountant invited into the organisation.

How do I give my accountant access to Zoho Books?

Invite them as a user with a role suited to their work. Use their own email, give the lowest access that lets them do the job and keep an owner as admin.

Should my accountant be an admin?

Usually not. Keep admin rights with an owner or director, and give the accountant the access needed to post, review and report.

Is a Zoho accountant a Chartered Accountant?

Not necessarily. A bookkeeper can be skilled in Zoho without being qualified. Filing, certification and audit need a Chartered Accountant.

How much do Zoho accountants charge in India?

It depends on volume and scope. Ask for separate prices for bookkeeping, monthly close and return preparation so you can compare fairly.

Can I outsource my Zoho bookkeeping?

Yes. Give the firm limited access to your organisation, agree a monthly calendar and keep ownership of the account.

What if my accountant leaves?

Remove their access the same day. Because books live in your organisation, the next person can pick up from the audit trail and notes.

Do I need a Zoho-trained accountant?

Training helps, but sound accounting knowledge matters more. Test candidates on real transactions and GST understanding.
