Zoho Books is cloud accounting software that can raise GST tax invoices, track input tax credit, connect bank accounts and produce GST-return data for Indian businesses. It works well when GST settings, item HSN codes and the chart of accounts are set up correctly at the start, and a Chartered Accountant reviews the books every month.
Key takeaways
- Most Zoho Books problems come from setup mistakes such as a wrong place of supply, a missing HSN code or an untidy chart of accounts, not from the software.
- E-invoicing is generally required once aggregate turnover has crossed Rs 5 crore in any year since 2017-18, and an e-way bill is needed for most consignments above Rs 50,000.
- Reconcile bank, sales, purchases and GST data every month, before the return is filed and not after.
- Check current Zoho plans and pricing, because features such as e-invoicing differ by plan.
01Who this guide is for
This guide is for owners, directors and finance heads of trading, service and manufacturing businesses in Noida, Gurgaon, Delhi, Faridabad, Ghaziabad and nearby cities who are moving to Zoho Books, or already use it and want cleaner GST data. It is about the accounting routine, not a product review. If your GST registration is still pending, start with our GST registration process guide and the GST registration service.
02What is Zoho Books and what does it do for GST?
Zoho Books is online accounting software from Zoho Corporation. For an Indian business it combines invoicing, bills, expenses, bank feeds, inventory and reports in one place. For GST, the useful parts are tax-wise invoices, item-level HSN or SAC codes, place-of-supply logic, credit notes and reports that line up with return data.
Software does not make a business compliant on its own. It records what you enter, so the quality of the books depends on setup and discipline. A good routine pairs the software with accounting and bookkeeping support and a monthly CA review.
03What must a GST tax invoice contain?
Whatever software you use, each tax invoice should carry the details below. Configure them once in Zoho Books so every invoice is correct by default.
| Field | What to set up | Why it matters |
|---|---|---|
| Supplier and buyer GSTIN | Your GSTIN in organisation settings; buyer GSTIN on each customer | Wrong or missing GSTINs break the buyer's credit and your return data |
| Invoice number | A unique, sequential series per financial year, within 16 characters | Duplicate or long numbers are rejected by the GST systems |
| HSN or SAC code | A code on every item, at the digit length your turnover requires | Needed on the invoice and in the return summary |
| Place of supply | Select the correct state on every sale | Decides CGST and SGST for intra-state or IGST for inter-state supply |
| Tax rate and amount | Rate on the item, with tax shown separately | A wrong rate flows into both the invoice and the return |
| Invoice date | Raise the invoice within the time limit for goods or services | Late invoices can create interest and mismatch issues |
Credit notes and debit notes need the same care, with a reference to the original invoice, because they change your tax liability for the month.
04Do e-invoicing and e-way bill apply to you?
Zoho states on its India pages that Zoho Books supports e-invoicing and e-way bill generation, which it describes as working through its status as a GST Suvidha Provider. Whether you need them depends on your turnover and your goods movement. The rules below are as reported in November 2026, so confirm them on the official e-invoice and e-way bill portals.
| Requirement | Usual rule | What to do in the software |
|---|---|---|
| E-invoice (IRN and QR code) | Registered businesses whose aggregate turnover exceeded Rs 5 crore in any year from 2017-18 must report B2B invoices to the Invoice Registration Portal; some classes are exempt | Enable e-invoicing only if it applies, and test with a few invoices before going live |
| 30-day reporting limit | Reported to apply to businesses with aggregate turnover of Rs 10 crore and above: invoices older than 30 days are rejected | Report invoices on the day they are raised |
| E-way bill | Needed for most movement of goods worth more than Rs 50,000 per consignment; validity is one day for each 100 km | Generate it from the invoice, with correct vehicle and distance details |
Turnover is counted across all GSTINs under one PAN, so check the combined figure and not just one branch.
05How do you set up Zoho Books for GST?
A clean setup takes more planning than clicks. Work through these steps in order.
- Create the organisation with the correct legal name, address, financial year and GSTIN, and turn on GST settings.
- Design the chart of accounts before entering data, with separate ledgers for GST input, output, TDS and bank accounts.
- Import customers and vendors with GSTINs and states, and fix duplicates first.
- Add items with HSN or SAC codes, units and tax rates, checked against your tax advisor.
- Enter opening balances from the last audited or signed-off trial balance, with dates matching the year-end.
- Set the invoice series, templates and approval rules, and connect e-invoicing or e-way bill only if applicable.
- Add users with roles, so the person who raises invoices cannot edit closed periods.
- Raise test invoices, bills and credit notes, and check the GST values against a manual calculation.
06How do bank feeds and reconciliation work?
Connecting bank accounts, or importing statements, brings transactions into the software, where you match each line to an invoice, bill, expense or transfer. Reconciliation is the check that the book balance and the bank balance agree after allowing for timing differences. Do it weekly for busy accounts and at least monthly for the rest.
Three habits keep it accurate: categorise every line on the day of import, keep a note for unmatched items, and never delete a bank-matched entry without recording why. These habits also support the statutory audit later, since the auditor starts from the bank reconciliation.
07What should the month-end routine look like?
The GST return should be the last step of a routine, not the first. A simple month-end checklist is below, and the exact filing dates are on our GST return filing page and the compliance calendar.
| Task | What to check | Owner |
|---|---|---|
| Sales invoices | Numbering is continuous, tax and place of supply are correct, e-invoices are reported | Business |
| Credit and debit notes | Each one links to its invoice and is in the right month | Business |
| Purchase bills | Matched to the supplier invoices shown in your auto-drafted GSTR-2B | Business with CA |
| Bank and cash | Reconciled to the statement, with no stale unmatched items | Business |
| TDS and expenses | Deductions made and recorded; see TDS return filing | CA |
| GST return data | Sales and tax totals agree with the ledgers before filing GSTR-1 and GSTR-3B | CA |
| MIS review | Receivables, payables, margins and cash position reviewed | Business with CA |
GSTR-1 is generally due on the 11th and GSTR-3B around the 20th to 24th of the following month, depending on the filer type and state, so confirm your own dates on the GST portal.
08What are the most common Zoho Books mistakes?
The costliest error is claiming input tax credit on purchase bills that the supplier has not shown in your GSTR-2B, because it can lead to a reversal with interest later.
- Choosing the wrong place of supply, which charges IGST instead of CGST and SGST, or the reverse.
- Leaving HSN codes blank or generic on items.
- Posting personal or non-business expenses to business ledgers.
- Editing or deleting entries in a closed month without a record.
- Starting with wrong opening balances, which makes every later report wrong.
- Turning on e-invoicing before testing, or filing returns without comparing them to the books.
09Worked example: a Noida trading business
This is an illustration, not a real client. A trading company in Noida has aggregate turnover of Rs 12 crore and sells electrical goods to dealers in Noida and Gurgaon. It raises an invoice of Rs 4,20,000 before tax to a Gurgaon dealer. Because the sale is from Uttar Pradesh to Haryana, the place of supply is inter-state and IGST applies. At an assumed rate of 18 percent, the tax is Rs 75,600 and the invoice total is Rs 4,95,600.
Because turnover is above Rs 5 crore, the invoice is reported to the Invoice Registration Portal on the day it is raised, which returns the IRN and QR code. Because the consignment is worth more than Rs 50,000 and moves by road, an e-way bill is generated from the invoice. At month-end, the accountant reconciles the bank, matches purchase bills to GSTR-2B and compares the sales totals with the draft GSTR-1 before the CA files.

Frequently asked questions
What is Zoho Books used for in India?
Zoho Books is cloud accounting software used to raise GST tax invoices, record purchase bills and expenses, connect bank accounts, track input tax credit and produce reports. Indian businesses use it to keep books that match their GST returns, with a Chartered Accountant reviewing the output.
Does Zoho Books support e-invoicing and e-way bills?
Zoho states on its India pages that Zoho Books supports e-invoicing through the Invoice Registration Portal and e-way bill generation through its GST Suvidha Provider status. Features differ by plan, so check current Zoho plans and pricing and confirm which plan includes what you need.
Is e-invoicing mandatory for my business?
E-invoicing is generally mandatory for registered businesses whose aggregate turnover exceeded Rs 5 crore in any financial year from 2017-18, and it continues even if turnover later falls. Some classes of taxpayers are exempt, so confirm your position with a Chartered Accountant.
Do I still need a CA if I use Zoho Books?
Yes. Software records what you enter, but it cannot judge whether a transaction is classified correctly. A CA reviews GST rates, input tax credit, TDS, depreciation and the audit trail, and files the returns and statutory forms that the books support.
How long does a Zoho Books setup take?
It depends on the number of GSTINs, items, customers, opening balances and how much old data must be migrated, so no single timeline is reliable. Ask for a written scope that lists each setup task, the data you must supply and what is excluded.
Who provides Zoho Books implementation in Delhi NCR?
